If you work in accounting, you know the feeling.

It is Monday morning. Your coffee is already cold. Three clients have labeled their emails “URGENT.” Someone still has not uploaded the documents you requested six weeks ago—and now wants to know whether their return will be ready by Friday.

Meanwhile, a software update is waiting, your inbox is reproducing, and a client is calling to ask whether you received the email they sent 90 seconds ago.

Welcome to deadline season.

Time pressure is part of life for CPAs, but constant stress does not have to be. With the right habits, technology, and expectations, your firm can meet deadlines without turning every busy season into an endurance contest.

1. Stop Treating Every Request Like a Fire

When everything is urgent, nothing is truly urgent.

CPA firms frequently lose valuable time switching between tasks. You begin reviewing a return, answer an email, investigate a software problem, return a phone call, and then spend five minutes trying to remember what you were doing.

Instead, divide incoming work into three categories:

Critical: A real deadline, compliance issue, or problem preventing work from continuing.
Important: Work that needs attention soon but does not require an immediate interruption.
Routine: Questions, administrative tasks, and requests that can be handled in scheduled blocks.

This approach helps your team respond appropriately instead of reacting emotionally to every notification.

A client writing “URGENT” in the subject line does not automatically make the request urgent—especially when the missing information has been sitting in that client’s briefcase since February.

2. Decide What Must Happen Today

A 47-item to-do list is not a plan. It is a catalog of anxiety.

At the beginning of each day, identify the three most important outcomes you need to achieve. These should be meaningful accomplishments, not vague intentions such as “work on taxes.”

Better examples include:

Complete the final review of five business returns.
Resolve all open questions for the Henderson engagement.
Submit the extension batch before 3:00 p.m.

Everything else can be organized around those priorities.

If an unexpected request arrives, ask a simple question: “Is this more important than one of today’s three priorities?” If the answer is no, schedule it instead of immediately abandoning your work.

3. Build Deadlines Before the Real Deadlines

The official deadline should never be your firm’s working deadline.

Create internal deadlines several days—or weeks—ahead of the actual filing date. This provides room for missing documents, review questions, technology problems, and the inevitable client who discovers a “small additional account” at the last possible moment.

Your firm might establish separate dates for:

Receiving client documents
Completing initial preparation
Conducting technical review
Obtaining client approval
Filing or submitting the final work

This turns one intimidating deadline into a manageable process with several checkpoints. It also makes delays visible earlier, when you still have time to address them.

4. Set Client Expectations Before the Panic Begins

Many deadline emergencies begin with unclear expectations.

Clients should know exactly what you need, when you need it, and what happens if they miss the cutoff date. Communicate these expectations repeatedly through email, your client portal, engagement letters, and appointment reminders.

Be polite, but be specific:

“To complete your return by April 15, we must receive all documents by March 15. Information received after that date may require us to file an extension.”

That sentence can prevent an enormous amount of April drama.

It also places responsibility where it belongs. Your firm cannot manufacture four weeks of preparation time because a client delivered a grocery bag full of documents on April 14.

5. Use Templates for Everything You Say More Than Once

If your team regularly writes the same type of message, create a template.

Useful templates might include:

Missing-document reminders
Extension explanations
Return-ready notifications
Appointment confirmations
Secure portal instructions
Payment reminders
Answers to frequently asked tax questions

Templates save time and help every team member communicate consistently. Personalize them where appropriate, but do not ask your staff to reinvent the English language every time someone forgets a W-2.

6. Protect Blocks of Focus Time

Complex accounting work requires concentration. Unfortunately, concentration tends to disappear when phones, emails, chat messages, and software alerts are competing for attention.

Create protected focus periods during which team members can work without routine interruptions. Even two 60- to 90-minute blocks per day can make a substantial difference.

During those periods:

Silence nonessential notifications.
Close unnecessary browser tabs.
Route routine calls to voicemail or another team member.
Avoid internal messages unless the issue is genuinely urgent.
Work on one engagement at a time.

You may feel less “available,” but you will accomplish more—and clients ultimately benefit from accurate work completed on time.

7. Do Not Let Technology Become Another Deadline

Technology should reduce pressure, not create more of it.

Slow remote access, unreliable servers, missing files, printer problems, security alerts, and software conflicts can consume hours during the busiest weeks of the year. Every interruption also carries a hidden cost: the time required to regain focus afterward.

Before deadline season, make sure your firm has:

Fast, reliable access to tax and accounting applications
Secure remote-work capabilities
Tested backups and a recovery plan
Multi-factor authentication
Current software and security updates
A clear process for receiving technical support
Adequate storage and system capacity
A plan for outages or internet disruptions

The middle of tax season is a terrible time to discover that your backup has never been tested or that your server becomes overwhelmed when the entire staff signs in.

8. Normalize Extensions When They Make Sense

An extension is a planning tool, not a moral failure.

Rushing through incomplete information can create errors, additional questions, and unnecessary risk. If the client’s records are incomplete or your team cannot perform the proper review, an extension may be the most responsible choice.

Establish clear criteria for extensions and communicate the decision early. This prevents last-minute debates and helps your staff focus on work that can realistically be completed.

Remember: filing something quickly is not more valuable than filing it correctly.

9. Make Breaks Part of the Schedule

When deadlines are approaching, taking a break can feel irresponsible. In reality, exhausted people make slower decisions and more mistakes.

Encourage your team to step away periodically, eat actual meals, drink water, and get enough sleep. A ten-minute walk may accomplish more than ten additional minutes spent staring blankly at the same spreadsheet.

And no, finding an unopened protein bar beneath a stack of organizers does not count as lunch.

10. Review What Caused the Pressure

After each major deadline, schedule a short debrief while everyone still remembers what happened.

Ask:

Which processes worked well?
Where did work become delayed?
Which clients repeatedly submitted information late?
What technical problems interrupted...
