Many exhibitor service manuals contain an EAC fee. Most exhibit and event marketers have never been told what it is, what it covers, or why it keeps showing up.

Open the exhibitor services manual for your next show and scroll past the carpet and the electrical order forms. Somewhere in the labor section sits a line item called the EAC fee. It is sometimes listed at upwards of $350. At some shows it is charged more than once for the same contractor. Very few exhibitors can explain what they are buying.

If you hire your own installation crew, your own audio/visual provider, or your own exhibit house to service your booth, you’re almost certainly paying it. The Exhibitor Advocate believes exhibitors deserve to understand that charge. Knowing where the fee came from, and how the practice has evolved, is what makes a productive conversation with a show organizer possible.

Start with the term

An Exhibitor Appointed Contractor, almost always shortened to EAC, is any company you hire directly to provide non-exclusive services for your trade show participation, rather than ordering those services from the show’s official service contractor. The most common services include installation and dismantle labor, exhibit transportation, audio/visual rental, carpet and flooring rental, and furniture rental.

If you have ever flown your exhibit house crew in to set your booth, you used an EAC. Most shows require you to file a notice of intent to use one, along with a certificate of insurance from that contractor. That filing is what triggers the fee.

Why exhibitors use their own contractors

Exhibitors select EACs for much the same reasons show organizers prefer long-term relationships with their official service contractors. Consistency, familiarity with customer goals and budgets, and an accumulated knowledge base all add up over time. The three benefits exhibitors cite most often are control over hiring and firing, quality of services provided, and value delivered.

Where the fee came from

The EAC category barely existed in the late 1970s. Trade show displays were simpler, setup needs were more basic, and only a handful of specialty companies focused on booth installation and dismantle. The model grew as exhibit builders looked for on-site crews so their own teams did not have to travel to every show. Word of mouth drove early adoption. By the 1980s and 1990s the category had expanded quickly alongside high-tech exhibitors who wanted more control over budgets, design, and servicing. The Exhibitor Appointed Contractor Association was founded in 1998 to raise the level of service excellence on the show floor.

Throughout that period, show management typically required EACs to provide proof of a valid exhibitor service contract and a valid certificate of liability insurance before issuing show floor credentials. That process made sense. It confirmed that the people working on the floor were authorized and properly insured.

As the number of EAC companies grew in the 1990s, credentialing became more labor intensive. Show management companies began charging an EAC fee to recoup those administrative costs, and in practice the fee was passed along to the exhibitor as a cost of doing business. The original intent was narrow. Collect the certificate of insurance once, and cover the administrative cost of doing so. That framing still appears in many contracts today.

How the fee works now

The application of the fee has drifted. At some events, the fee is charged for each exhibitor serviced by an EAC, even though the certificate of insurance only has to be collected once. For a contractor working with multiple clients at the same show, those charges can add up to as much as $15,000 at a single event. The paperwork did not multiply. The fee did.

When that happens, the fee has moved away from its original cost-recovery purpose and begins to function as a revenue line. That is the point at which exhibitors should start asking questions.

What it means for your budget

The impact varies more than most organizers realize. For a large anchor exhibitor, the fee is a small percentage of a broad show budget. For a smaller exhibitor, the same fee can meaningfully increase show floor service costs, sometimes doubling them. It arrives on top of material handling, electrical, and labor rates that have climbed steadily in recent years.

Smaller exhibitors are often the future growth of an event. They are also the ones most likely to walk away after a first year that cost more than they planned for. Charges that are hard to explain and harder to predict do not help. When the fee structure makes it harder for those exhibitors to come back, exhibitors and organizers both feel the effect over time.

An alternative worth considering

The Exhibitor Appointed Contractor Association has proposed a model designed to cover administrative costs without compounding them across the exhibitor community. Organizers that need to charge an EAC fee to manage credentialing can partner with the association on the documentation process, and the fee is charged to each contractor rather than to each exhibitor using one. It is a nominal charge that covers the real administrative work while avoiding the multiplication effect exhibitors experience today.

If you decide to ask

When exhibitors write to show management about the EAC fee, they are usually asking three things: what the administrative cost basis is, how the fee is structured, and what adjustments might be under consideration. Those are fair questions. Answering them openly tends to strengthen the exhibitor and organizer relationship rather than strain it.

The goal of these conversations is rarely confrontation. It is clarity. Exhibitors want to understand what they are paying for and why, and they want the structure of the fee to reflect the administrative work being done.

Align the EAC fee with the actual administrative cost of credentialing and insurance verification.
Consider charging the fee to each contractor once, rather than to every exhibitor that contractor serves at a given show.
Share the cost basis with exhibitors and contractors so everyone understands what the fee covers.
